Record the essentials immediately

Save an application when you submit it, not days later. Vacancy pages can change or disappear, and small details become difficult to remember once interviews begin.

  • Company, role title and original vacancy link.
  • Application date and current hiring stage.
  • Resume version or important changes made for the role.
  • Contact person, deadlines and the next planned action.
  • Notes from calls, interviews and feedback.

Use stages that answer “what happens next?”

A useful status is actionable. “Applied,” “interview,” “offer,” “rejected” and “withdrawn” are easier to maintain than a complicated system with many overlapping labels. Add a date or note when a stage changes.

If an application is waiting, record what you are waiting for and when you will review it again. This turns the tracker into a working plan rather than an archive.

Follow up with context

A follow-up should be brief, specific and useful. Refer to the role and application date, reaffirm your interest and ask whether the hiring team needs any additional information. Respect any timeline provided in the vacancy or interview.

Avoid daily messages. If no timeline was given, a measured follow-up after several business days is usually more professional than repeated contact.

Learn from the whole pipeline

Review your tracker regularly. If suitable applications rarely reach interviews, revisit role fit and how your resume communicates relevant evidence. If interviews do not move forward, examine the questions, examples and expectations that repeat.

The goal is not to chase a perfect conversion rate. It is to use real outcomes to make the next application more intentional.
